Proofer reads every Help Center article each month and proposes fixes. It never edits anything on its own — nothing reaches a live article until someone here approves it. Budget 20 minutes a month.
Start on “Triage by class”
Findings are grouped by what kind of problem they are, not one row per article. One rule firing on 189 articles is one decision, not 189. Work the cards top to bottom — they are ordered by volume.
Each card tells you the count, how serious it is, and what approving actually does to the article.
Never approve blind — open “Details”
Details lists every single instance in that class with the exact before → after. Untick include on anything that looks wrong and it drops out; then Approve included takes the rest.
If a whole class looks wrong, don’t grind through it — use Feedback and tell Proofer why. That changes the rule so it stops producing that finding on future runs. Clearing 189 findings is worth far less than making the 190th never happen.
Then work “Needs a human”
These are the ones no rule can settle: contradictions, factual errors, and images that don’t render. They need somebody who knows how the restaurant actually runs.
J and K move through the queue. A approves, D denies, F opens the reply box. Every item shows the live article and an edit-in-Guide link if you want to see it in context.
Answer the questions Proofer asks
On a contradiction, Proofer can’t know which side is right — it can’t check the real world. So it asks. Approving a contradiction only confirms “yes, this really is contradictory”; it does not change the article.
Type the answer (“$3.95 is current, the KB is stale”) and Proofer drafts the correction, which comes back as v2 for you to approve. The back-and-forth stays on the finding, so the next person can see the reasoning.
Publish when you’re done
Publish decisions shows a plain summary before anything happens: how many articles get updated, how many findings are dismissed for good, how many go back for a redraft. Nothing is sent until you confirm on that screen.
You do not have to finish in one sitting. Decisions you haven’t published are still here when you come back, and anything you dismiss never gets raised again.
Questions people ask
Can Proofer break a live article?
Only through an approval. Approving publishes a draft that was written during the sweep and that you can read in full first. Any draft still carrying a ⚠ placeholder — a screenshot that needs re-shooting, a value needing confirmation — is refused by the publisher outright, even if approved by mistake.
Does approving 189 things launch a big AI job?
No. All the drafting happened during the monthly sweep. Approving copies stored drafts to their articles, one API call each. For formatting and links there is no model output involved at all — those are mechanical text edits.
What if I dismiss something I shouldn’t have?
Dismissing suppresses that exact finding so it won’t be raised again. Before you publish, Undo on the card or Change decision on the item reverses it. After publishing, ask whoever maintains Proofer to clear the suppression — it’s one record, not a lost article.
Why are “Could explain more” and “Suggested rewrite” separate?
Because they are opinions, not defects — nothing in those articles is wrong. They’re grouped so you can dismiss the lot in one click on a busy month and come back to them when there’s time. Treat them as a backlog of nice-to-haves.
Do I need to log in?
You already did — Proofer uses your honeygrow JumpCloud account, the same sign-in as FleetView and Menu Manager. There is no separate password.
